Terms & Conditions

Please read these Terms and Conditions carefully before making a booking with UK Airport Express. By submitting a booking enquiry or confirming a booking, you agree to be bound by these terms.
1. Definitions
- "Company" means UK Airport Express, its employees, drivers, and agents.
- "Customer" means the person or organisation making the booking.
- "Passenger(s)" means all persons travelling in the vehicle.
- "Journey" means the agreed transport service as confirmed in the booking.
- "Vehicle" means the minibus or coach provided by the Company.
2. Bookings
A booking is confirmed only when the Company has provided written or verbal confirmation and the Customer has agreed to the quoted price. Quotes are valid for 7 days from the date of issue unless otherwise stated. The Company reserves the right to decline any booking at its discretion.
It is the Customer's responsibility to provide accurate journey details including pickup address, destination, date, time, and passenger numbers. The Company accepts no liability for errors resulting from inaccurate information provided by the Customer.
3. Pricing and Payment
All prices quoted are fixed and inclusive unless otherwise stated. No additional charges will be added for normal journey completion. Additional charges may apply for:
- Significant route changes requested by the Customer on the day of travel
- Additional stops not included in the original booking
- Excessive cleaning required following passenger behaviour
- Damage caused to the vehicle by passengers
Payment terms will be agreed at the time of booking. The Company reserves the right to require a deposit for larger bookings.
4. Cancellations
Cancellation charges apply as follows:
- More than 14 days before the scheduled date: 25% of the deposit amount will be refunded
- Within 14 days of the scheduled date: No refund will be applicable
Cancellations must be made in writing by email to Charlie@ukairportexpress.com or by WhatsApp to +44 7471 023414. The cancellation date is the date the Company receives written notification.
The Company reserves the right to cancel a booking in exceptional circumstances beyond its control (see clause 9). In such cases a full refund will be provided.
5. Delays and Flight Tracking
For airport transfer bookings, the Company monitors flight arrival times using live flight data. No additional charge will be made for delays caused by flight delays, air traffic control, or other circumstances outside the Customer's control.
If a passenger causes a delay to the journey's departure, the Company reserves the right to apply a waiting time charge after 15 minutes beyond the agreed pickup time.
6. Passenger Conduct
All passengers are expected to behave in a safe and considerate manner. The driver has the right to refuse travel to or remove any passenger whose behaviour is deemed to be:
- Aggressive, abusive, or threatening towards the driver or other passengers
- Likely to cause damage to the vehicle
- A risk to the safety of the driver, other passengers, or the public
No refund will be given where a passenger is refused travel due to their conduct. The Customer is responsible for the behaviour of all passengers in their group.
7. Alcohol and Substances
The consumption of alcohol on board is subject to prior agreement with the Company at the time of booking. The Company reserves the right to refuse carriage to passengers who are excessively intoxicated. No illegal substances are permitted in any Company vehicle at any time.
8. Luggage
Passengers travel with luggage at their own risk. The Company accepts no liability for loss of or damage to luggage unless caused by the Company's negligence. Oversized or unusual items must be disclosed at the time of booking so appropriate arrangements can be made.
9. Force Majeure
The Company shall not be liable for failure to perform its obligations where such failure results from circumstances beyond its reasonable control, including but not limited to severe weather conditions, road closures, traffic accidents, vehicle breakdown, acts of God, or other unforeseen events. In such circumstances the Company will make all reasonable efforts to arrange alternative transport.
10. Liability
The Company's liability for any claim arising from the provision of services shall not exceed the total value of the booking in question. The Company is not liable for indirect or consequential losses including missed flights, missed events, or loss of enjoyment.
All Company vehicles carry full public liability and passenger insurance as required by law. Nothing in these Terms limits the Company's liability for death or personal injury caused by its negligence, or any other liability that cannot be excluded by law.
11. Complaints
Any complaints must be raised with the driver at the time of travel where possible, or submitted in writing to Charlie@ukairportexpress.com within 7 days of the journey date. The Company will respond to all written complaints within 14 days.
12. Governing Law
These Terms and Conditions are governed by the laws of England and Wales. Any disputes arising from these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
13. Changes to These Terms
The Company reserves the right to update these Terms and Conditions at any time. The current version is always available on our website. Bookings are subject to the terms in force at the time of booking confirmation.
